Dubsado vs HoneyBook vs Studio Ninja: Which CRM is Best for Photographers? (2026)

This is probably the question I get asked more than any other, and honestly, I get why it's confusing. All three do similar things on the surface, and there's a lot of noise online about which one is "best." So here's my take, as someone who has set up Dubsado for photographers every single week for the past six years and has seen what works and what doesn't.

The Quick Answer:

If you want total control over your client experience and you're serious about automation, it's Dubsado. If you want something simpler to get started with and don't mind less flexibility, HoneyBook is worth a look. If you're specifically a wedding or portrait photographer based in Australia or the UK and want something built just for photographers, Studio Ninja is solid, but here's why I almost always recommend Dubsado.

What they all have in common

All three let you send contracts, collect payments, send questionnaires, and automate parts of your client workflow. If you're currently doing all of that manually, any one of these will feel like a revelation. The differences come down to how much you want to customise, how complex your workflows are, and how much time you're willing to put into the setup.

Where Dubsado wins

Dubsado gives you more control than any other CRM on the market. Your proposals, contracts, and questionnaires can be fully on brand. Your workflows can be built around exactly how your business works, not a generic template, and the automation capabilities mean your enquiry responses, payment reminders, onboarding/delivery/offboarding sequences can all run without you touching them.

The catch? The setup takes time and effort to get right. This is honestly why I exist. Most photographers try to set it up themselves, get overwhelmed, and either abandon it or end up with something that half works. A properly built Dubsado is genuinely transformational. A badly built one is just another thing on your to-do list.

Where HoneyBook works better

HoneyBook is easier to get up and running quickly. The interface is cleaner and more intuitive, and the setup is more guided. If you're just starting out and need something functional fast, it's a reasonable choice. The trade-off is that it's less customisable. Your forms and workflows will look and feel more like everyone else's.

Where Studio Ninja fits

Studio Ninja was built specifically for photographers, which means it understands things like session types and gallery delivery in a way the others don't quite match. It's popular with wedding photographers particularly. The limitation is that it's a lot less flexible outside of photography-specific workflows, and the automation capabilities aren't as deep as Dubsado's.

My honest recommendation

For most photographers I work with, Dubsado is the right choice, but only if you're willing to invest in setting it up properly. If you just want something quick and easy, HoneyBook will serve you fine. If you're a wedding photographer who wants something built for your industry, Studio Ninja is worth a look.

What I'd say to anyone sitting on the fence: the CRM you actually set up and use properly is better than the "best" one you never quite get working. If you need help getting Dubsado set up the right way, that's exactly what I do.
